Refund & Cancellation Policy

  • You can cancel at any time. Cancelling stops the next payment — it does not refund the period you have already paid for.
  • You keep full access until the end of the billing period you paid for.
  • Every new workspace gets 14 days of Pro free, with no payment details taken up front and nothing charged automatically when it ends.
  • We refund duplicate charges, incorrect amounts, and debits taken after a valid cancellation — in full.
  • We do not normally refund part-used billing periods, because the service was available to you throughout.
  • Approved refunds go back to the original payment method within 5–7 working days.

This Refund & Cancellation Policy explains how paid subscriptions to EkamBase, operated by EkamBase, are cancelled and when money is returned. It forms part of our Terms of Service and should be read alongside them.

Paid plans are not live yet

EkamBase is currently free to use. Nothing can be charged today. This policy will apply from the date paid plans are switched on, and we will give notice by email before that happens.

1. What you are paying for

EkamBase is sold as a subscription to software delivered over the internet. You are paying for access to the service for a billing period, not for a physical product and not for a fixed quantity of work. There is nothing to ship, so no shipping or delivery policy applies.

You choose a plan and a billing period — 3, 6 or 12 months. The amount for that period is shown to you before you confirm, and is charged at the start of the period.

All prices are in Indian Rupees (INR) and are inclusive of applicable Goods and Services Tax (GST). A tax invoice is issued for every successful payment.

For legal review: confirm whether published prices are GST-inclusive or exclusive, and align this sentence with what the pricing page and the tax invoice actually show. Getting this wrong is a consumer-law exposure, not just a wording issue.

2. Free trial

Every new workspace starts on our top plan, free for 14 days. No payment details are required to start, and you will not be charged during the trial.

  • Nothing is charged automatically. Because we take no payment details to start the trial, there is no mandate for us to debit when it ends.
  • If you do nothing, the trial simply ends and your workspace becomes read-only until you choose a plan. Your data is kept, not deleted.
  • You are only ever charged once you actively choose a plan and complete payment.

3. How to cancel

You can cancel your subscription at any time, without giving a reason, by writing to us from the email address that owns the workspace. We will confirm the cancellation in writing.

Cancelling also stops the auto-debit mandate

When you cancel, we cancel the recurring mandate with our payment gateway so no further amount can be debited. You can additionally withdraw the mandate yourself from your bank or UPI app at any time — that is your right, and we will not obstruct it.

For legal review

For legal review / product: cancellation is by email today because there is no self-serve cancel button in the product yet. If a self-serve cancel ships, update this clause — a policy that describes a flow the product does not have is a misrepresentation.

4. What happens when you cancel

  • Your access continues until the end of the billing period you have already paid for.
  • No further payments are taken after that.
  • Your data stays available to you for the remainder of the paid period, so you can export what you need.
  • At the end of the period the workspace is locked: your data remains, and you can still sign in and view it, but creating new invoices and records stops until you choose a plan again. Nothing is deleted.

Cancelling part-way through a period does not shorten your access, and does not by itself create a refund — see the next section.

5. When we refund

We issue a full refund, without argument, in each of these cases:

  • Duplicate payment — you were charged more than once for the same billing period.
  • Incorrect amount — you were charged an amount other than the price shown to you when you subscribed.
  • Debit after cancellation — money was taken after you had validly cancelled.
  • Unauthorised debit — a payment was taken under a mandate you did not authorise.
  • Service not delivered — a payment succeeded but your workspace was never given the plan you paid for, and we could not put it right.

In these cases we refund the entire amount charged, including the GST component, to the original payment method.

6. When we do not refund

So that this is clear before you subscribe rather than after:

  • Part-used billing periods. If you cancel in month two of a six-month period, we do not refund the remaining four months. The service was available to you throughout, and you keep access until the period ends.
  • Change of mind after use. Choosing a longer billing period is a decision to pay for that period up front.
  • Not using the service. Availability is what you paid for; usage is up to you.
  • Third-party charges. Bank, card-network or UPI charges levied by your own provider are not ours to return.

Discretion

None of the above prevents us from making a refund as a goodwill gesture where the circumstances warrant it. Ask us — we would rather hear from you than lose you quietly.

For legal review

For legal review: a strict no-pro-rata rule on 6- and 12-month periods is the main consumer-law risk in this document. Confirm it is defensible for a B2B SaaS sold to small businesses, and advise whether a cooling-off window (e.g. full refund if cancelled within 7 days of a new long-period charge) should be offered instead.

7. How to request a refund

  1. Write to us from the email address that owns the workspace.
  2. Tell us the payment date, the amount, and what went wrong. A payment reference or invoice number helps but is not essential.
  3. We acknowledge within 2 working days and tell you whether the refund is approved, with reasons if it is not.
  4. If approved, the money is returned to the original payment method within 5–7 working days of approval.

Refunds go back the way they came

We cannot redirect a refund to a different card, account or UPI ID. This is a payment-industry rule, not our preference, and it exists to prevent fraud.

Once we have issued a refund, how quickly it appears on your statement is up to your bank or card issuer. If it has not arrived after the period above, contact us and we will share the gateway reference so your bank can trace it.

8. Failed payments

If an automatic payment fails, we do not cut off your access immediately. Our payment gateway retries the payment for a period, and we will email you so you can update your payment method.

If payment still cannot be collected after those retries, your workspace is locked — you keep access to your existing data but cannot create new records until a plan is active. Nothing is deleted because a payment failed.

9. Price changes

If we change the price of a plan, the new price applies from your next billing period, never the one you have already paid for. We will tell you by email before it takes effect, in time for you to cancel if you do not want to continue.

10. Complaints and grievances

If you are unhappy with how a refund or cancellation was handled, please escalate it to us.

This policy is governed by the laws of India.
